This Privacy Policy explains how the SmartBill Invoice App ("App", "we", "us", "our") processes and protects information when you install and use our Shopify application.

This policy applies to all Shopify merchants ("you", "your") who install the App.

We are committed to complying with applicable data protection laws, including the General Data Protection Regulation (GDPR) and other relevant privacy regulations.

2. Data We Process

2.1 Data from Shopify

When you install the App, we access the following data via Shopify APIs:

Order Data: order details required to generate invoices
Product Data: product identifiers and inventory-related data
Customer Data: accessed only when needed for invoice generation and sent directly to SmartBill — not stored by us
Shop Data: store configuration details

2.2 Data Provided by You

SmartBill Credentials: used to connect to your SmartBill account
App Settings: invoice configuration and automation preferences
Support Information: contact details you provide when requesting assistance

2.3 Customer Data

We do not store customer personal data
Customer data is processed only temporarily for invoice generation
Invoice references may be stored in Shopify order metafields

2.4 AI Chat Assistant

Chat messages are stored to provide support continuity
Messages may be processed by OpenAI to generate responses
No customer personal data is sent to OpenAI

3. How We Use Data

To generate invoices via SmartBill
To synchronize product and inventory data
To configure and operate the App
To provide support, including AI-assisted support
To maintain and improve service performance
To comply with legal obligations

We do not:

Sell your data
Use your data for advertising
Use customer data beyond invoice generation

4. Data Sharing

We share data only when necessary to provide the service:

SmartBill – for invoice generation and accounting operations
Shopify – for platform functionality and invoice references
OpenAI – for AI chat support (no customer personal data)
Resend – for support-related communications (when requested)

No other third-party data sharing occurs.

5. Data Security

We implement appropriate technical and organizational measures to protect data, including:

Encryption of sensitive credentials
Secure data transmission (HTTPS)
Access control and authentication mechanisms
Logical separation of merchant data

6. Data Retention

We retain data only as long as necessary:

App configuration and credentials – until disconnection or uninstall
Invoice-related data – as required by law
Operational logs – limited retention period
Chat data – until uninstall

All data is deleted after it is no longer required or upon app uninstall.

7. Your Rights

You have the right to:

Access your data
Request correction
Request deletion
Restrict processing
Request data portability
Object to processing

Requests can be sent to privacy@facturify.ro and will be handled within 30 days.

8. Customer Data Requests

Customer data rights are handled via Shopify mechanisms:

We respond to GDPR webhooks from Shopify
We confirm that no customer personal data is stored

9. Cookies and Tracking

We do not use cookies or tracking technologies.

10. Children's Privacy

The App is intended for business use and is not directed at children.

11. International Transfers

Where applicable, we use appropriate safeguards such as Standard Contractual Clauses (SCCs).

12. Changes to This Policy

We may update this policy periodically. Continued use of the App means you accept the updated version.
